Role Description

Job Title:

Commercial Administrator

Reports to:

Commercial Manager

Accountable to:

Commercial Manager

Main Objectives

Provide administrative support to the Commercial function across commercial and purchasing teams

Improve quality, accuracy and speed of commercial administrative processes

Champion administrative compliance and standards within the Commercial function to maintain ISO9001 status

Key Responsibilities

Assist with the preparation and maintenance of Purchasing and Procurement Plans prior to commencement and allocation of projects.

Provide administration duties at Procurement Stage, assisting with the preparation of tender enquiry packages, collating tender information.

Provide administrative support for the lifecyle of Sub Contract Orders and collation of documents for duration of development, monitoring compliance throughout.

Communicate, share and manage all relevant subcontract documentation to all internal and external parties as required.

Prepare interim subcontract payments for approval by the development Quantity Surveyor and complete all relevant checks as per the Financial Procedures and Sub Contract Conditions.

Prepare draft variation orders on COINS for approval via workflow.

Provide assistance to the Purchasing Team to ensure that Commodity Codes are set up on COINS and submit draft journals for approval.

Liaise with H&S, Procurement and Quantity Surveyors to maintain all documents for Approved and potential new subcontractors.

Complete general administrative duties as requested by Commercial Manager  through the use of company systems, processes and procedures such as attend meetings, take minutes, scan documents, complete trackers, answer phones

  • Excellent data entry, numeracy skills and attention to detail

  • Strong organisational skills with the ability to prioritise tasks effectively

  • Strong written and verbal communication skills

  • Ability to work independently and as part of a team

  • Quality and compliance management driven

  • Ability to travel to development locations

  • Highly proficient with Excel, Word and Outlook

  • Familiar with ISO quality compliance standards


  • Minimum of 2 years commercial admin experience

  • Held similiar role within Construction sector

  • Experience of COINS system

  • Compliance monitoring and adherence

Internal: Procurement & Commercial staff, Finance, Directors

External: Sub-Contractors, suppliers, Clients, members of the public
